Enable states to track entry progress

  • Define states to represent different stages of a register entry (e.g., Draft, Under Investigation, Closed).
  • Assign an initial state where all entries begin and optional final states to lock completed entries.
  • Ensure final states prevent further editing while keeping them visible for reporting.

Set up transitions for structured workflows

  • Create transitions to move entries between states using action buttons.
  • Name each transition clearly to reflect what happens when clicked (e.g., "Submit for Review," "Approve," "Reject").
  • Organize transitions in a logical order for seamless navigation.

Control access with permissions

  • Assign role-based permissions to ensure only the right users can perform specific transitions.
  • Grant access directly within the States tab or configure it through the Roles and Permissions module.
  • Use conditional rules to restrict transitions based on specific criteria.

Enhance usability with automated messages and overdue tracking

  • Add popup messages to provide instructions or confirmations when users transition an entry.
  • Enable overdue processing for final states to track unresolved entries.

Test and validate transitions in action

  • Open an entry in the register to see the state displayed at the top.
  • Click a transition button to move the entry to the next stage.
  • Ensure transitions work correctly, reflecting the intended workflow.
